Introduction

These Terms and Conditions ("Terms") govern your use of the Mayfield Alpacas website (www.mayfieldalpacas.com) and the booking of any experiences, parties, or other services we offer. By placing a booking or using our website, you agree to be bound by these Terms.

These Terms are written in accordance with the laws of England and Wales and your rights as a consumer under the Consumer Rights Act 2015 and the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.

Definitions

  • "Experience" means any bookable activity offered by Mayfield Alpacas, including but not limited to alpaca experiences, farm experiences, children's birthday parties, and function hire.
  • "Booking" means a confirmed reservation for an Experience, made via our online booking system, by phone, or in person.
  • "Guest" means any person attending an Experience, whether they made the Booking or are part of a booked group.
  • "Lead Booker" means the person who makes the Booking and accepts these Terms on behalf of all Guests in the party.

Bookings

Making a Booking

Bookings can be made through our online booking system on the website, by telephone, or by email. When you make a Booking online, you will receive a confirmation email containing your booking reference, date, time, and details of the Experience. Your Booking is confirmed once you receive this email and payment has been processed.

Payment

Full payment is required at the time of booking. We accept payment by credit and debit card via our payment provider, Stripe. All prices are in pounds sterling (GBP) and include VAT where applicable.

Lead Booker Responsibility

The Lead Booker is responsible for ensuring that all members of their party are aware of and agree to these Terms, and for the conduct of all Guests in their party during the Experience.

Accuracy of Information

You are responsible for providing accurate booking information, including names, ages of Guests where required, contact details, and any relevant accessibility or dietary requirements. We cannot be held responsible for any issues arising from inaccurate information provided at the time of booking.


Children and Supervision

All Guests under the age of 16 must be accompanied by a responsible adult (18 or over) throughout the Experience. The accompanying adult is responsible for the safety and supervision of any children in their care at all times.

For children's birthday parties, adult-to-child ratios will be communicated at the time of booking. The Lead Booker is responsible for ensuring sufficient adult supervision is present.


Your Visit

Arrival

Please arrive 10 minutes before your scheduled Experience start time. Late arrivals may result in a shortened Experience or, where appropriate, may be unable to join the Experience at all. No refunds will be issued for missed time due to late arrival.

Animal Welfare and Safety

Our animals are at the heart of everything we do. Guests must follow all instructions from our staff at all times. This includes guidance on approaching, touching, and feeding animals. We reserve the right to ask any Guest to leave the farm without refund if their behaviour poses a risk to our animals, staff, or other visitors.

Health and Safety

Mayfield Alpacas is a working farm. Guests visit at their own risk and must follow all safety instructions and signage. Suitable footwear (closed-toe shoes or wellingtons) is required. We strongly recommend washing hands after handling animals, and hand-washing facilities are provided on site.

If you, or anyone in your party, has any allergies, phobias, medical conditions, or accessibility needs that may affect the Experience, please let us know at the time of booking so we can make reasonable adjustments where possible.

Photography

Guests are welcome to take photographs and videos of their own party for personal use. Commercial photography or filming requires prior written permission. We may occasionally take photographs at the farm for marketing purposes - if you do not wish for you or your party to be photographed, please notify a member of staff on arrival.

Conduct

We reserve the right to refuse entry, or to ask any Guest to leave, without refund, if their behaviour is disruptive, abusive, intoxicated, or otherwise inappropriate, or if they fail to follow staff instructions or these Terms.


Changes by You

You may request to change the date or time of your Booking by contacting us at least 48 hours before your scheduled Experience. Changes are subject to availability and cannot be guaranteed. Requests made less than 48 hours before the Experience will be treated as a cancellation and are not eligible for a refund (see Refund Policy).


Changes or Cancellations by Us

In rare circumstances, we may need to change or cancel a Booking. This may be due to:

  • Severe weather conditions making the Experience unsafe or impractical
  • Animal welfare considerations
  • Illness or unavailability of essential staff
  • Other circumstances beyond our reasonable control (force majeure)

Where we cancel a Booking, we will contact you as soon as possible and offer you the choice of:

  • Rescheduling to an alternative date, subject to availability, or
  • A full refund of the amount paid

We are not liable for any additional costs you may have incurred (for example, travel, accommodation, or party catering arranged separately) as a result of a cancellation or change made by us.


Refunds

Our full refund terms are set out in our separate Refund Policy, which forms part of these Terms.


Vouchers and Gift Experiences

Gift vouchers, where offered, are valid for 12 months from the date of purchase unless otherwise stated. Vouchers are non-refundable but transferable. Lost or stolen vouchers cannot be replaced.


Liability

Nothing in these Terms limits or excludes our liability for:

  • Death or personal injury caused by our negligence
  • Fraud or fraudulent misrepresentation
  • Any other liability that cannot be limited or excluded under English law

Subject to the above, our total liability to you arising out of or in connection with your Booking is limited to the total amount paid for the Experience.

We are not liable for any loss or damage to personal property brought onto the farm. Vehicles parked on site are parked at the owner's risk.

You acknowledge that interaction with animals carries inherent risks. By making a Booking, you accept these risks on behalf of yourself and your party, save where injury or damage is caused by our negligence.


Intellectual Property

All content on the Mayfield Alpacas website, including text, images, logos, and branding, is owned by or licensed to Mayfield Alpacas and is protected by copyright and trademark law. You may not reproduce, distribute, or use any content without our prior written permission.


Website Use

You agree not to use the website in any way that is unlawful, fraudulent, or harmful, or that interferes with the normal operation of the site. We reserve the right to suspend or restrict access to the website at our discretion.

While we take reasonable steps to ensure the website is accurate and up to date, we do not guarantee that all information is free from errors or omissions, and we are not liable for any reliance placed on website content.


Privacy

Our handling of your personal data is governed by our Privacy Policy, which forms part of these Terms.


Complaints

If you have a complaint about your Experience or any other aspect of our service, please contact us as soon as possible at info@mayfieldalpacas.com or 0114 263 0033. We aim to acknowledge complaints within 5 working days and resolve them within 28 days.


Governing Law

These Terms are governed by the laws of England and Wales. Any dispute arising out of or in connection with these Terms or your Booking will be subject to the exclusive jurisdiction of the courts of England and Wales.


Changes to These Terms

We may update these Terms from time to time. The version of the Terms that applies to your Booking is the version published on our website at the time you made the Booking.
